Summary/Objective

The Associate Title Specialist position will support the Titles Department by efficiently performing duties related to Titles operations to meet monthly funding goals. They will be assisting with perfecting automotive titles in the correct lending partner name. The Associate Title Specialist is responsible for managing the mail, and accurate and efficient organization/filing of title documents. They will act as the first line of escalation in resolve titling issues through interaction with other departments, customers, lending partners, and DMVs via email and phone. This position is an in office role, in Indianapolis, Indiana.

Essential Functions

  • Calling lien holders to confirm payoff information and following up on trailing title documents
  • Sort, distribute, scan, upload, and file daily mail in a timely manner.
  • Update account statuses for completed and title problem accounts ensuring accuracy and validity of information
  • Coordinate with other departments to obtain account updates for customers.
  • Communicate with customers via phone, text, email to provide account updates directly and help title specialists obtain missing documents to complete title packets
  • Follow up with WKLS to ensure a timely response on account updates
  • Answer incoming calls from internal and external callers
  • Maintain office filing and storage systems
  • Fax, scan and copy documents
  • Confirm payoffs and request titles, LRs, BOS for processing by reaching out to lien holders
  • Prepare outgoing mail for distribution
  • Monitor incoming emails/VMS and answer or forward as required
  • Recording information as needed
  • Creating account status reports for lenders

Competencies

  • Proficiency in Outlook, Excel, and Word.
  • Excellent communication and phone skills with a strong customer focus required; including both written and verbal communication
  • Basic computer skills
  • Attention to detail, organizational skills and accuracy
  • Efficient time management skills including ability to prioritize assigned duties to meet workload needs
  • Can work both independently and as part of a team
  • Working knowledge of office equipment; computers, laptops, printers, scanners, etc.
  • Ability to learn and demonstrate office procedures
  • Analytical abilities and problem-solving skills
  • Ability to work in a high pace environment requiring flexibility

Education and Experience

  • High School diploma or equivalent required
  • Associates Degree or higher preferred but not required
  • 2+ years of experience in an administrative capacity requiring high volume phone calls
  • 1-2 years of experience in an administrative capacity or customer service role in automotive finance preferred but not required

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are variable and based on business need. Evening and weekend work may be required as job duties demand.

Physical Requirements

This position is indoors. Must be able to sit at a computer terminal for an extended period. May be asked to lift approximately 25 lbs. Exposure to moderate noise and light, i.e business office with computers, phone, printers, light foot traffic.
