Seeking a Medical Practice Manager to become part of our team. The practice manager is responsible for overseeing the day-to-day operations and administration of our medical practice to ensure it runs smoothly, efficiently, and in compliance with relevant regulations. This role is crucial in enabling healthcare providers to focus on patient care.

Key Responsibilities

  • Operations Management: Overseeing daily activities, including patient flow, scheduling appointments, maintaining equipment and supplies, and ensuring the office opens/closes on time.
  • Financial Management: Managing budgets, overseeing billing and accounts receivable, processing payroll, and negotiating with suppliers and vendors to control costs.
  • Human Resources: Supervising, hiring, training, and evaluating non-clinical staff. This also involves managing staff schedules, mediating conflicts, and fostering a positive, team-oriented work environment.
  • Regulatory Compliance: Ensuring adherence to all federal, state, and local laws and regulations, including HIPAA and OSHA guidelines.
  • Patient Relations: Enhancing the patient experience, addressing inquiries and complaints, and implementing initiatives to improve patient satisfaction and retention.
  • Strategic Planning and Marketing: Contributing to business planning, identifying opportunities for growth and efficiency, and developing marketing strategies to attract new patients.
  • Information Technology: Managing and optimizing electronic health records (EHR) and practice management software, while ensuring data security and confidentiality.

Essential Skills and Qualifications

  • Education: A bachelor's degree in healthcare administration, business management, or a related field is expected. A master's degree is preferred.
  • Experience: Generally, 3-5 years of supervisory or management experience within a medical practice or ambulatory setting is necessary. Prior management experience in a Neurology and/or pain management clinic is preferred.
  • Leadership and Communication: Strong leadership skills to motivate staff and excellent interpersonal skills to communicate effectively with patients, physicians, staff, and vendors. Professional appearance expected.
  • Organizational Skills: Exceptional attention to detail, the ability to multitask, and strong time management skills to manage the many moving parts of a practice.
  • Financial Literacy: A solid understanding of economic principles, including budgeting, billing, and revenue cycles.
  • Problem-Solving: The ability to identify issues, think critically, and devise practical solutions under pressure.
  • Technical Proficiency: Competency with practice management software, EMR systems, and standard office software (e.g., Microsoft Office Suite).
  • Certifications (Optional but Valued): Professional certifications, such as the Certified Medical Practice Executive (CMPE) or Certified Physician Practice Manager (CPPM), can provide a competitive edge.
