Description

Job Description: An Events Assistant at XTalk Prep Consultants is responsible for supporting the planning and execution of various events, from corporate meetings to large-scale conferences. This role involves coordinating logistics, liaising with vendors, and ensuring that events run smoothly and efficiently. The Events Assistant plays a crucial role in delivering memorable and successful events that align with the company's objectives.

Key Responsibilities

Duties and Responsibilities:

  • Assist in the planning and execution of events, including meetings, conferences, and workshops.
  • Coordinate event logistics, including venue selection, catering, transportation, and accommodations.
  • Liaise with vendors, suppliers, and stakeholders to ensure all event needs are met.
  • Manage event timelines and ensure deadlines are adhered to.
  • Prepare event materials such as agendas, presentations, and promotional items.
  • Handle on-site event management, including registration, attendee support, and troubleshooting.
  • Conduct post-event evaluations to determine successes and areas for improvement.
  • Maintain and update event documentation and databases.

Skills, Knowledge and Expertise

Required Skills & Abilities:

  • Bachelor's degree in Event Management, Hospitality, Communications, or a related field.
  • Proven experience in event planning, coordination, or a similar role.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work efficiently under pressure and manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite and event management software.
  • Flexibility to work evenings and weekends as required.
