Job Posting The Event Assistant provides support to the Events Department in all areas related to the planning and coordinating of private event facility rentals. This includes working with clients throughout the sales and planning process and being onsite for day-of event coordination and assistance. This role will work closely with the Events Director, Events Coordinators and Events Associates to ensure a successful and efficient event. This position will have flexible duties that include client and guest interaction, evaluating event needs and delegating tasks to all Event Associates, overseeing vendor load ins/load outs, supervising the restoration of spaces to museum-quality standards post event and effectively communicating, in a professional and courteous manner, with co-workers, clients, vendors, and museum patrons.
The Event Assistant will foster positive internal and external relationships, bring energy, enthusiasm, organization and endeavor to work in a collaborative environment in order to maintain an efficient and trained Events team.
This is a full-time position reporting to the Director of Events. Candidate must be available to work weekends and evenings on-site regularly.
Qualifications The successful candidate will have a High School diploma or equivalent, advanced education is desired, but not essential. Experience required in one or more of the following areas: events, customer relations, facility rental coordination, and/or hospitality industry with experience serving events. 1-2 years of supervisory experience preferred.
The candidate should be able to work alongside a group of diverse part-time and full-time employees; multi-task, meet deadlines, and work well in a fast-paced work environment; be able to innovate, solve problems and remain calm under pressure; and be capable of overcoming issues as they arise. The Event Assistant must be capable of communicating with event rental clients and help the department exceed expectations. Strong oral and written communication skills and the ability to communicate effectively with a wide variety of people are essential. The candidate should be proficient in all Microsoft Office applications including Outlook, Word, and Excel. Familiarity with Power Point is a plus. Availability to work evenings and weekends is essential.
