Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing administrative support, and delivering exceptional customer service. This position requires proficiency in various office management tasks and the ability to multitask effectively in a fast-paced environment.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems to manage incoming calls and direct them appropriately.
  • Maintain organized filing systems for easy access to documents and records.
  • Perform data entry tasks accurately and efficiently.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Utilize QuickBooks for bookkeeping tasks as needed.
  • Prepare documents, reports, and correspondence using Microsoft Office and Google Workspace.
  • Proofread materials to ensure accuracy and professionalism in all communications.
  • Support office management functions, including inventory management and supply ordering.
  • Demonstrate excellent phone etiquette when interacting with clients and vendors.
  • Leverage organizational skills to prioritize tasks effectively and meet deadlines.

Skills

  • Experience with front desk operations in a professional setting.
  • Familiarity with multi-line phone systems for efficient communication.
  • Bilingual abilities are a plus for enhanced customer interaction.
  • Strong office management skills with a focus on efficiency.
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Proven office experience with clerical duties such as filing, typing, and data entry.
  • Exceptional customer service skills with a commitment to supporting clients effectively.
  • Administrative experience that includes managing schedules and correspondence.
  • Strong phone etiquette to ensure positive interactions over the phone.
  • High level of computer literacy to navigate various software applications smoothly.
  • Outstanding organizational skills to manage multiple tasks simultaneously.
  • Effective time management abilities to prioritize workload efficiently.
  • Experience as a dental or medical receptionist is advantageous but not required.
